Privacy Policy

I am Claire Kerr, an independent dyslexia specialist teacher, and soon to be assessor, offering specialist teaching and assessments from September 2025.  For these purposes, I act as a data controller and am registered with the Information Commissioner’s Officer (ICO) under registration number ZB908434.  I take client/learner privacy seriously and this privacy policy provides information on when and why your personal information is collected, how it is used, the limited conditions under which it may be disclosed to others and how it is kept secure.

What Personal Information Is Collected and Why?

I collect or use the following personal information as necessary for student education and welfare to deliver services, communicate with clients or ensure payment as part of our contract. Information may be collected from clients, parents, carers, education establishments, medical establishments and relevant third parties such as therapists

This personal information may include:

  • Full names, email addresses, telephone numbers, home address, role, and place of work of parents, guardians, carers and others providing information via questionnaires
  • Payment details and financial information including transactions
  • Details necessary to deliver services, such as school information, staff names, roles, and contact details
  • For teaching and assessment of minors: names, health information, dates of birth, gender, welfare information, educational background, developmental information and family background, both from questionnaires and conversations or correspondence.  This may include sensitive personal information on the reasons for assessment, any previous support, special educational needs or disabilities or additional information. 
  • School attendance and reason for absence data
  • Information on assessments, progress, levels of attainment in school and exam results as well as exclusion, suspension and behavioural information
  • It may sometimes be necessary, with permission, to collect additional information from third parties, such as schools, parents, or professionals involved with the individual being assessed or taught
  • Contact details for third parties involved in the assessment such as family members or school/college, if permission has been granted
  • Audio recording of the assessee’s responses to certain tests may be necessary for analysis after the assessment session.  Where this occurs, the recording will be deleted after you have received the report.
  • Personal data for adults is collected under a contract we have entered into for assessment or tuition
  • Personal data for minors is collected with explicit consent from parents or guardians and based on the professional and legal obligations required in the field of teaching and assessment
  • Collecting personal information is an essential part of any diagnostic assessment and helps to inform assessment and tuition recommendations for the learner.
  • I collect or use safeguarding information and any other personal information required to comply with legal obligations

My lawful bases for collecting or using personal information for student education and welfare and to comply with legal requirements are:

  • Consent - I have permission from you after I gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time.
  • Contract - I have to collect or use the information so I can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.
  • Legal obligation - I have to collect or use your information so I can comply with the law. All of your data protection rights may apply, except the right to erasure, the right to object and the right to data portability.

 

How Is Your Information Stored?

All information is securely stored as follows:

  • Hard copy assessment record forms are stored in a locked filing cabinet for 12 months following assessment
  • An electronic copy of reports will be stored until a minor’s 25th birthday or six years after assessment for adults
  • Information is stored on a secure OneDrive cloud account
  • Information may be temporarily stored in DropBox for sharing purposes
  • Any emailed reports will be password protected

 

Who is Personal Information Shared With?

Information may be shared with or requested from:

  • Parents and carers, school/college SENCos or teachers, local authorities, specialist teachers, or other relevant third-party professionals including, but not limited to, medical practitioners, speech & language therapists, educational psychologists and other professionals in order to provide appropriate support for the client/learner
  • Information may also need to be shared with insurance companies, brokers, other intermediaries or accountants
  • Organisations I need to share information with for safeguarding reasons

 

Access to Your Personal Information

Under data protection legislation, you are entitled to view, amend or delete (subject to legal obligations) the personal information that I hold. You are also entitled to restrict or object to the processing of information, to ask for the transfer of information and to withdraw your consent for me to hold or use your personal information. To exercise any of these rights or if you have any questions about how I use your information, please email claire@clairekerrdyslexia.co.uk.  Requests from clients/learners to delete data relating to an individual will be considered but it may not be possible to remove all assessment records and information for legal obligations and accounting reasons.

This privacy policy was last updated in June 2025 and will be reviewed in June 2026. If you have any questions regarding this privacy notice please do not hesitate to contact me.
